1. Who we are
London Borough of Hounslow Swimming Club (LBHSC) is a charitable incorporated organisation, registered with the Charity Commission as charity number 1204274. We are the data controller for personal information collected through this website and through membership and programme administration.

2. What data we collect and why
LBHSC collects the personal data needed to run the club safely: swimmer names and dates of birth, parent and guardian contact details, emergency contacts, medical information relevant to swimming, attendance records and payment details. We also keep photographs and video where consent has been given.
3. Legal basis for processing
We process personal data only where the law allows it. Our bases are:
Contract: administering your membership and delivering the programmes you have signed up for.
Legitimate interests: keeping existing members informed about club activities.
Consent: photography, and any optional marketing communications.
Legal obligation: where the law requires it, for example DBS administration.
Health and other special category data: only with explicit consent from you, or from a parent or guardian.
4. How long we keep your data
We keep personal data only as long as we need it. Membership records are kept for the duration of membership and six years after, in line with charity accounting requirements. Enquiry data is deleted after 12 months if no membership follows. Photography consent records are kept while the images are in use.
5. Your rights
Under UK GDPR you have the right to:
See the personal data LBHSC holds about you.
Ask for inaccurate data to be corrected.
Ask for your data to be deleted, subject to legal retention duties.
Object to processing based on legitimate interests.
Withdraw consent at any time, where consent is the basis.
Complain to the Information Commissioner's Office (ICO) if you believe your data has been mishandled.

6. Data sharing and third parties
LBHSC does not sell personal data. We share it only where necessary: with Swim England for affiliation and gala entries; with the coaches and administrators who need it to run the programme; and with statutory authorities where the law requires. Data is not transferred outside the UK.
7. Cookies and website data
This site sets no advertising or social media tracking cookies. We use Vercel Web Analytics to understand overall usage. It is cookie-free and measures anonymised visits only. The site is hosted by Vercel, whose infrastructure privacy terms also cover server logs.
8. Changes to this notice
We may update this notice from time to time. Members will be told about material changes by email. The version on this page is always the current one; the date at the top shows when it was last updated.
